Compliance & Transaction Oversight

The spine of the firm. Every engagement sits inside a compliance framework — not a layer added afterwards, but the first question asked at onboarding.

We operate under the Proceeds of Crime (Money Laundering) and Terrorist Financing Act ("PCMLTFA") and the Regulations thereunder. Our internal compliance programme is designed, documented, and reviewed against FINTRAC's requirements and guidance.

Compliance discipline is not an overhead we minimize — it is a feature of the service we sell. Clients who bring transactions to Xchange House do so because they want documentation, screening, and controls. Clients who want to avoid those controls are not a fit for our firm.

Our compliance programme includes a designated Compliance Officer, written policies and procedures, ongoing training, risk assessment, independent review, and the full set of KYC, monitoring, reporting, and recordkeeping obligations required under the Act.

    Client identification (KYC / KYB)

    Identity verification for individuals, entity verification for corporates, beneficial ownership determination, and ongoing monitoring.

  2. 02

    Source of funds and wealth review

    Proportionate review of source of funds and, where risk profile warrants, source of wealth — documented to support transaction decisions.

  3. 03

    Sanctions and PEP screening

    Screening against applicable sanctions regimes and politically exposed person lists, applied at onboarding and on an ongoing basis.

  4. 04

    Transaction monitoring

    Rule-based and judgment-based review of transactions for unusual activity, with escalation and reporting procedures where required.

  5. 05

    Reporting obligations

    Filing of large cash, large virtual currency, electronic funds transfer, suspicious, and terrorist property reports as required under the PCMLTFA.

  6. 06

    Recordkeeping and retention

    Complete transaction records retained under our recordkeeping programme — available for regulatory review and audit on request.
